HOBY ALA Volunteers

We are currently accepting volunteer applications and filling positions on a rolling basis. However, volunteers who would like to be considered during the first round should submit their applications no later than Sunday, November 27, 2016.

We suggest that you first review the expectations of all ALA volunteers, then the corresponding job descriptions below for more information and then apply by clicking the link below.  Please note: this is the only application on the site that applies to volunteering at the ALA.

Volunteers are responsible for their own transportation to/from the main ALA event location.  HOBY will take care of lodging, meals, transportation and all other costs (except for personal spending money) for the majority of volunteer positions during the event. 

The Advanced Leadership Academy (ALA) provides the next level of HOBY leadership development programming by challenging high school juniors and seniors to put their leadership into practice through local community action.  The ALA is HOBY’s newest and highest level leadership development program entering its third year of operation. The program can accommodate up to 125 students per session with a staff and volunteer team of 40.   The program is guided by the book, Leadership for a Better World: Understanding the Social Change Model of Leadership Development, and helps young people become courageous change makers who thoughtfully engage others in service and social enterprise.

Through the Advanced Leadership Academy, participants:
  • Understand the seven dimensions of the Social Change Model of Leadership and how they work together to accomplish the eighth dimension, change;
  • Use a leadership inventory to identify and understand their own leadership strengths and capabilities;
  • Identify a need and create an action plan to meet that need through community service or social entrepreneurship in their home communities;
  • Meet new people and establish an online network of leaders and social entrepreneurs.


Since the Advanced Leadership Academy is a national program, HOBY International oversees its implementation including the program, budget, facility selection and volunteers. In Summer 2016 HOBY will hold the next Advanced Leadership Academy July 6-11, 2017 at Loyola University in Chicago, Illinois.
ALA is a distinctly different program experience for both students and volunteers. Infused with the HOBY spirit, ALA is a professional, business casual environment with more intellectual rigor. As a result, it is important that volunteers understand that there are different expectations for their involvement in this program:
  • All volunteers are expected to submit an entirely complete volunteer application, including resume, professional bio, headshot, and travel information according to communicated deadlines.
  • All volunteers will read Leadership for a Better World as part of their pre-ALA orientation and training.  As the book used by ALA participants, it is critical that all volunteers have a foundation of knowledge in the social change model of leadership and the 8 “C’s”. The book may be purchased in hard copy or e-book format from amazon.com.
  • All work will be completed in advance, prior to arriving on site.  This includes outlines, scripts, handouts, etc.  All materials will be reviewed by the ALA Chair and Sr. DNP.
  • Electronic communication is our primary means of day-to-day communication so all volunteers will check email several times per week and utilize electronic tools for ALA documents and materials.
  • Although the ALA curriculum has been professionally developed, has been academically reviewed, and is replicable, ongoing continuous improvement initiatives are a constant, just as with all HOBY programs.  A “can do attitude” and the ability to be flexible is critical for all volunteers.
  • The role of small group facilitators at ALA has a different focus, time commitment and title than that of the Leadership Seminar or World Leadership Congress.  At the ALA, facilitators are called “project coaches” and they are expected to make a 12 month commitment to mentor and guide the seven to nine students in their group as they implement their project action plans post ALA.  Support activities may include individual and group conference calls, email correspondence, moderating online discussions, and reviewing monthly progress reports and milestone reports. Data collection post ALA is critical and must be completed timely. Most communication resources and templates will be provided by HOBY.
  • All volunteers are expected to assist with recruitment activities including (but not limited to) volunteer networking, local alumni outreach, social media messaging, phone calls, etc.
  • All volunteers are expected to participate in relevant training and planning meetings, appropriate for their assigned role.
The ALA Chairperson: The ALA Chair’s responsibilities include, but are not limited to: set the theme/vision for the program/event, contact/interview volunteer applicants, develop the volunteer team, communicate regularly with leadership team / individual teams, meet weekly with Sr. Director of Programs, conduct regular Leadership Team meetings, meet planning objectives in a timely manner, assist each team as needed to meet their deadlines/planning objectives, work with each team on appropriate staff training needs, assist in any volunteer areas as needed.
     Required 
  • Minimum of three years HOBY volunteer experience in a variety of “Key Volunteer” roles (Director or above) at either the state, national or international level.
  • Minimum one year of ALA volunteer experience.
  • Thorough understanding of HOBY programs and organization.
  • Minimum of 25 years of age.
  • Demonstrated capacity to be well organized, meet deadlines, and lead a team successfully.

Vice Chair of Program: Coordinates, directs and advises the program team to develop and execute the ALA program in close consultation with the ALA Chair. Will revise and lead program presentations and activities specific to project planning so experience and skill speaking/teaching and facilitating experiential activities and discussions for large groups is required.
     Required

Vice Chair positions require a significant amount of advance work and a significant amount of post-event work including participation in regularly scheduled conference calls with the ALA leadership team and facilitating the program team conference calls. Anticipated ALA arrival date: morning of July 5, 2017 and departure on afternoon of July 11, 2017.
Creative Director: Provides the inspiration for and coordinates the theme, mood, and overall tone of the program in close consultation with the Vice-Chair of Program and ALA Chair. Handles music selection, icebreakers, program transitions, opening and closing ceremonies scripting and coordination including keynote speaker selection. Develops and presents the inspirational elements and deliverables of the program. Will revise and lead some program presentations and activities. Helps develop a cohesive flow to the program as well as organize different aspects and elements of the program to enhance the participant experience. Serves as the timekeeper, keeping program on track.
     Required 
  • Minimum 19 years of age.

Program Manager: Supports the Vice Chair of Program by coordinating specific program elements. Works with Project Coaches to select cooperating organizations for the Leadership for Service activity. Revises worksheets and guides provided to Project Coaches and Project Managers in relation to Leadership for Service. Revises and leads program presentations and activities.

Program Coordinator: Supports overall program development and may lead elements such as Social Entrepreneurship and Project Planning Workshops. Responsible for speaker and panelist coordination and communication. Responsible for all of the program curriculum files including activity scripts/agendas/instructions, session handouts from all presenters and volunteers. Provides support to the Vice Chair of Program. Requires a moderate amount of advance work including regularly scheduled conference calls with the program team.

AV Coordinator/Technician:: Coordinates all multimedia support for the program including displaying PowerPoints, prezis, and videos. Manages the sound board, presentation laptops, LCD projectors, microphones and all necessary peripherals. Provides support to the Vice Chair of Program. Requires a moderate amount of advance work including regularly scheduled conference calls with the program team.
     Required

Vice Chair, Operations: Coordinates, directs and advises the operations team; executes and implements the logistical policies and procedures for the event. Works with all teams to identify and secure all supplies in advance of the event including Gifts in Kind, HOBY store, volunteer and speaker gifts, and program supplies.

Director of Facilities, Food and Beverage: Coordinates with representatives from the host site and off-site locations for all facility related requirements, assignments, circumstances and issues. Coordinates housing assignments for participants, volunteers, and guests. Plans for all meals and snacks for volunteers, participants and guests, including special dietary requirements. The position requires a moderate amount of advance work. Post-event will work with ALA chair and Vice Chair of Operations to review host site final invoice for accuracy.

Director of Transportation and Special Services: Potential off-site role. Coordinates all volunteer, participant and guest transportation (airport, buses, train, shuttles, etc.), including arrivals, departures and onsite logistics. May be tasked with assisting Team Alumni, HOBY Store, and other activities if on-site position in place of full time Operations Manager. If off site, individual will need to be familiar with Google Apps, have consistent internet access, and ability to participate in regular phone calls on arrival and departure days. The position requires a significant amount of advance work.

Medic: Advises, assesses, treats and documents volunteer and participant medical concerns while at the ALA. Requires appropriate medical training and certification/licensing. Individual may be a Physician, Physician Assistant, Nurse, Paramedic, or Emergency Medical Technician. This position requires minimal advance and minimal post-ALA work.

Team Alumni: Provides logistical support to the operations team and other duties as assigned. Up to three (3) positions available dependent upon participant enrollment. This position requires a minimal amount of advance work.

Operations Manager: Coordinates HOBY Store, Team Alumni, manages Operations office, including maintaining an inventory of all program and operations supplies. Works with Program team to ensure all supply needs are met for all program elements by sourcing gift in kind or purchases. Works with approved vendors to source HOBY Store items under supervision of the Vice Chair of Operations. The position requires a moderate amount of advance work.

  • Office Assistant: Multiple positions available. Assists the Vice Chair of Operations with general office duties. Multiple volunteers may be named for this position depending on need. HOBY volunteer experience preferred, but not required, must be over 18 years of age. On-site days can be selected by volunteer based on personal availability.
  • Arrival Day: Multiple positions available. Meet and greet incoming students at various transportation hubs. Will work with Director of Transportation on specific assignments. HOBY experience a plus, but not required. Must be over 21 years of age. Arrival Day is July 6, 2017.
  • Departure Day: Multiple positions available. Responsible for troubleshooting transportation concerns for departing students at various transportation hubs. Will work with Director of Transportation on specific assignments. HOBY experience a plus, but not required. Must be over 21 years of age. Departure Days are July 11 and 13, 2017.
Registrar [HOBY International Staff Person]: Manages registration procedures and processes payments and materials for participants, volunteers and guests via Cvent. Responsible for running reports from Cvent, answering telephone and e-mail inquiries, entering ALA participants and volunteers into Alumni Manager, providing alumni with post ALA communication regarding project progress reporting, service hour verification and L4S usernames/passwords.
Vice Chair of Project Coaches: Coordinates, directs and advises the project coach team including volunteer recruitment, selection, pre-ALA training, and all staff onsite orientation and training. Leads Project Coach meetings during the ALA and resolves issues as needed. Serves as a liaison between the Project Coach Team and Program Team. Continues contact with Project Coaches for one year post-ALA to ensure ongoing communication and coaching/mentoring with student groups and project progress data collection.
     Required

Project Coach: Leads a group of approximately 7-9 participants through the ALA experience including post-academy completion of community service project during the immediately following year. The position is one part HOBY facilitator, one part teacher, and one part project manager/administrator. The Project Coach recognizes all three roles and blends them seamlessly with their own personality, emphasizing one part over the other as the situation requires. Involved in some program development specific to small group dynamics and and large group interaction. Project Coaches additionally score participant work according to a provided rubric. This position requires a limited amount of advance work. However this position requires a moderate and consistent amount of post-event work coaching and mentoring individual members of your group in their project action plan implementation for up to one year post-ALA, and assisting in data collection of project progress. Depending on ALA registration, there may be as many as fourteen (14) project coach positions available.

Assistant Project Coach: Assistant to designated project coach, responsibilities vary but will focus on providing ideas, suggestions and inspiration to ALA participants in the project action planning process. Up to fourteen (14) positions available dependent upon registrations.

Information Technology Assistant: Supports Vice-Chair of Project Coaches and serves as an Administrator for and facilitates the use of technologies by participants and volunteers. Prepares Google Docs and other electronic tools. Helps administrate Facebook group discussion. Requires some advance and post-ALA work for up to one year following the ALA. This position does not attend the ALA.

Vice Chair of Marketing and Recruitment: Creates recruitment strategy in coordination with HOBY International. Coordinates, directs and advises the marketing and recruitment team as they implement the recruitment strategy, produce ALA publications, manage ALA social media/media relations, track and document quotable quotes. Helps create and drive overall theme of the event. During the event the Vice Chair will be directly responsible for all social media content produced by HOBY across Facebook, Instagram, Snapchat, and Twitter. Expected to e-mail and call schools, alumni and HOBY sites in advance of program to drive registrations and coordinate the involvement of other ALA volunteers in recruitment.
     Required

Publications Director: Produces all publications for the ALA, including the advance guide, the program book, certificates, the ALA yearbook/ futures kit, and other desktop publishing projects using pre-designed templates in Adobe InDesign. This position requires a significant amount of pre-ALA work including regularly scheduled conference calls with the marketing/recruitment team. May assist with design of assigned content for social media use.

Photographer/ Videographer: Serves as the official photographer and videographer throughout the ALA. Helps create content including headshots for all participants and volunteers, and all elements of end of event slideshow. Works with Marketing and Recruitment team to provide content for ALA yearbook and content for social media postings. Requires a limited amount of advance and post-ALA work including regularly scheduled conference calls with the marketing/recruitment team.

Recruitment Team Members: Assist Vice-Chair of Program with recruitment efforts prior to the ALA, including e-mail, phone calls, and social media posts. Interact with schools, students and HOBY volunteers to promote the ALA, answer questions, and guide individuals through the registration process. Work with HOBY affiliates/sites to identify students to attend the ALA. Multiple positions available. HOBY volunteer experience preferred, must be over 18 years of age. Requires a moderate amount of advance work, including regularly scheduled conference calls with the marketing/recruitment team. This position does not attend the ALA.

  • Thank You Note Coordinator: MManages all aspects of Thank You Notes – data collection and compilation, materials preparation including mailing label printing, presentation to students, proofreading of notes and stuffing, stamping and mailing, etc. Prefer, but not required, experience with Microsoft Word, Microsoft Excel, and understanding of mail merge. Anticipated ALA onsite date of July 10, 2017.
Students are invited to participate in this optional two-day Post ALA Tour of Chicago. Students and volunteers will stay at Loyola University, Chicago, Illinois. The Post ALA Tour Team will participate in activities throughout Chicago with tour participants. Volunteers selected for this team will cover their own travel expenses to the Loyola University Campus, but all other tour expenses will be covered by HOBY. The following positions are onsite volunteers with an expected arrival date of the morning of July 11, 2017 and a departure date of the afternoon of July 13, 2017.
Tour Group Leader: PPlans and implements the two-day post ALA tour for students. Works directly with HOBY’s Director of National Programs to plan the tour activities and logistics. Must be over 25 years old and have HOBY volunteer experience, although ALA volunteer experience is not required. Prefer a volunteer local the venue who is very familiar with the city. Requires a moderate amount of advance and post-ALA work, including regularly scheduled planning conference calls with the Director of National Programs.
Tour Chaperone: SWorks directly with the Tour Group Leader and students to implement the post-ALA tour of the city. The number of chaperones will be dependent on the number of students participating. Must be 21 years old and have HOBY volunteer experience, although ALA volunteer experience is not required. Prefer local volunteers who are very familiar with the city. These volunteer appointments will be made in June, 2017 due to the timing of student registration. Requires a limited amount of advance and post-ALA work including regularly scheduled planning conference calls.
